Shared Mailboxes

Who: UConn departments or other groups where multiple people need to send and receive mail from a shared email account. All users will need a full Office365 account (faculty, staff, or student worker – normal student 365 accounts will not work).
How: Action Required 1-2 BUSINESS DAYS in advance. Email soehelp@uconn.edu with the requested email address and the email addresses of the people who will need access – for student workers this should be the student####@ad.uconn.edu. If an equivalent shared mailbox used to exist on the engineering mail server, include the old address (these are typically migrated from name@engr.uconn.edu to engr-name@uconn.edu).
What: A shared email address, no login ID. Each user will use his or her own credentials (faculty & staff use first.last@uconn.edu, students use a student worker account) to access the mailbox.

Shared Resources

Who: Conference rooms and equipment previously reserved using Outlook calendars.
How: Action Required 1-2 BUSINESS DAYS in advance. Email soehelp@uconn.edu to request a room mailbox, which can be used to manage the schedule for either rooms or equipment.
What: An Office365 room mailbox, including a calendar. Booking can be controlled in two ways:
  1. Restrict users who can send meeting requests to the room/ equipment in question. Other users who try to send invites will be rejected automatically.
  2. Create a moderated mailbox, where designated user(s) can accept, reject, or change events.

Distribution Lists

Who: UConn users who want to be able to send mail to specific groups of UConn users without selecting each individual every time. Can only include UConn users
How: Self-created and moderated.
What: A mailing list that can be modified by owners as needed. There is no username or mailbox associated with a group – each user in the list will receive messages sent to the group in their own mailbox.

SharePoint Groups

Who: UConn faculty & staff on Office365. Can only include UConn users
How: Self-created and moderated. Groups can be created as described here.
What: A shared mailbox and calendar, file sharing, and webpage. Additional users can request access.

Listserv

Who: UConn groups who want to be able to send mail to specific groups of UConn and non-UConn users without selecting each individual every time. The primary owner of the listserv must be a full time faculty or staff member.
How: Action Required  7 BUSINESS DAYS in advance. A listserv can be requested by completing the request form here.
What: A mailing list that can be modified by the owners as needed, and can include users without @uconn.edu addresses. There is no username or mailbox associated with a group – each user in the list will receive messages sent to the group in their own mailbox. More information here.

Massmail Accounts

Who: Anyone with a NetID or service account who needs to send mail to 500+ users – which otherwise would be flagged as spam and the sender’s account would be locked.
How: Action Required  2 BUSINESS DAYS in advance. A massmail account can be requested by emailing helpcenter@uconn.edu or calling 860-486-4357.
What: A mailbox and configuration settings for sending mail.
